Serving our customers and stakeholders efficiently and securely is very important to us. Pronto Software Limited and its related entities recognise that people care about how private information is collected and used and seeks to abide by the following privacy principles, requirements, legislation and applicable data protection laws of each country within which we operate, including the requirements of the European Union General Data Protection Regulation (GDPR).
The kinds of personal information that Pronto Software collects and holds
In order to provide services to our customers, interact with our employees, suppliers and contractors, we may collect personal information relevant to the nature of the person’s relationship or role with Pronto Software.
What is Personal Information?
Personal Information is information relating to an identified or identifiable natural person. An identifiable natural person is one who can be identified, directly or indirectly, by reference to an identifier such as a name, an identification number, location data, an online identifier, or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.
We do not consider personal information to include information that has been anonymised or aggregated so that it can no longer be used to identify a specific natural person, whether in combination with other information or otherwise.
We collect personal information from you and other sources when you use our Services.
Users of Pronto applications or services
As a user of Pronto software applications or services we may record information including your name, the customer you are associated with, contact details, views expressed through forums or blogs, training and events that you participate in with us. This information is used to identify you as a user within our software applications, to provide user technical support, training or other resources, and to interact with you about your use of our products and services.
As employees or contractors of Pronto Software and its related entities we will maintain personal information in relation to your employment or service relationship with us.
As a staff member of a reseller or member of the Pronto community ecosystem that services and supports Pronto software applications or services we may collect and hold information including your name, the organisation you are associated with, contact details, views expressed through forums or blogs, qualifications, training and events that you participate in with us.
Prospective customers and their staff
As a prospective user of Pronto software applications or services we may record information including your name, the prospective customer you are associated with, and contact details. This information is used to identify you as a potential user and person associated with a prospective customer and to understand our potential customers and their needs for Pronto software applications and services.
Where Pronto Software is exposed to any personal information contained within customer data, through the provision of support or consulting services or otherwise, that personal information will be treated as being highly confidential, will only be used strictly to the extent needed to provide those services, and will not be retained by Pronto Software.
How Pronto Software collects and holds personal information
The purposes for which Pronto Software collects, holds, uses and discloses personal information
Depending on your relationship with Pronto we collect your personal information to market to you, provide products or services to you, educate, train or support use of Pronto software applications or services, or to deploy you as a resource to deliver service.
Where personal information is used for direct marketing we will only use personal information that you would reasonably expect us to use for this purpose. A person may request in email or writing to the contact details below not to receive direct marketing communications from us.
If information collected is not reasonably necessary for one or more of Pronto Software’s functions or activities and we determine that we could not have collected the personal information had it been solicited directly from you and the information was not contained on a public record, as soon as practicable we will destroy the information or ensure that the information is de-identified.
If you do not provide complete personal information we may not be able to provide products or services to you as effectively as if more complete information was provided.
Right to access
We respect your right to access, correct, request deletion or request restriction of our usage of your personal information as required by applicable law. We also take steps to ensure that the personal information we collect is accurate and up to date.

- We will provide you with a copy of your personal information in a structured, commonly used and machine readable format on request
- If your personal information is incorrect or incomplete, you have the right to ask us to update it
- You have the right to object to our processing of your personal information
- You can also ask us to delete or restrict how we use your personal information, but this right is determined by applicable law and may impact your access to some of our Services
How you may access your personal information that is held by Pronto Software and seek the correction of such information
By making a request in writing to the Privacy Officer you can access any of your personal
information (if any) that we may hold.
How do we protect your data
We protect your personal information using technical and administrative security measures to reduce the risks of loss, misuse, unauthorised access, disclosure and alteration. Some of the safeguards we use are firewalls and data encryption, physical access controls to our data centres, and information access authorisation controls.
How you may complain about a breach of these privacy principles and how Pronto Software will deal with such a complaint
If you wish to make a complaint in writing or email regarding a potential a breach of privacy principles, do so in writing to the Privacy Officer whose details are set out below. We will endeavour to respond in a timely manner, investigate, rectify the matter quickly and confirm our actions in writing where practical and appropriate.
Whether Pronto Software is likely to disclose personal information to overseas recipients
Information collected in one country may be shared with Pronto Software offices or directly contracted service providers such as administration, marketing or technology services in another country where it relates to the normal commercial conduct of our business. We take steps to ensure that those entities abide by fair information principles that are similar to those imposed in Australia or the USA.
Keeping your information up to date
We will do our best to keep your personal information accurate, complete and up to date. You can help us with this by advising us if you believe that any of the information we hold is incomplete or inaccurate.
